Description: ContextSanofi plans to create a major leading European company dedicated to the production and marketing to third parties of active pharmaceutical ingredients (API). The project consists of creating a standalone company which would combine Sanofi?s API commercial and development activities with six of its European API production sites (based in Italy, Germany, UK, France and Hungary) within a new company. The headquarter would be in France and a planned IPO on Euronext Paris would be evaluated with a decision expected by 2022, subject to market conditions. The position will be located in Paris (XII) - France.Global ObjectivesUnder the direct reporting of the General Counsel & Secretary of the Board, the Office Manager: · Provides executive administrative support to the Chairman, the Board of Directors & the Secretary of the Board · Supports the Legal, Compliance & Business Integrity processes and toolsMain missions & ResponsibilitiesADMINISTRATIVE SUPPORT TO THE CHAIRMAN & THE BOARD OF DIRECTORS & THE SECRETARY OF THE BOARD · Creates meeting timelines, prepares and distributes meeting notification, correspondence, agenda and materials · Attends required in-person board meetings, Governance Committee Meetings, Chair-track meetings and contributes to the records and minutes filings · Establishes excellent working relationship with the Chairman and Members of the Board of Directors, Executive Committees and Staff organization, and members/leaders in verbal, written, and electronic correspondence · Monitors budget and logistics of the Board · Creates mailings, presentations and other materials for the Board members · Mails, tracks, and follows up on the annual conflict of interest disclosure and creates report for Board of Directors and Governance review · Schedules appointments and maintain Chairman's travel calendar · Makes travel and accommodation arrangements, and visa tracking for the Board Members · Is an active partner in Board social events as well as maintains a silent role during Board meetings · Ensures the administrative support of the Secretary of the Board SUPPORT TO LEGAL, COMPLIANCE & BUSINESS INTEGRITY ACTIVITIES · Provides executive support to the General Counsel · Under the supervision of the Head of Legal Operations maintains the Contracts Management Database and is a key relay for the Business Partners · Under the supervision of the Head of Legal Corporate coordinates the Powers of Attorney and some other company law requirementsEducation and Knowledge4 years' degree · Paralegal experience · 2-3 years of experience working with a Board of Directors and/or board appointed committees ·5+ years of experience in a high-level administrative support position · Strong digital skills and minute takingSkillsDemonstrated complex problem-solving skills ·Flexible and adaptable in a constantly changing environment · Exercises independent judgment, discretion and confidentiality · Ability to interact effectively with senior level executives both internally and externally ·Strong teamwork and collaboration skills · Ability to work well under pressure in a dynamic environment ·Good analytical and organizational skills ·Excellent customer service skills · Ability to balance multiple time-sensitive tasks · Exceptional attention to detail · Excellent interpersonal and communication skills ·Advanced computer skills in Word, Excel and PowerPoint ·Intercultural savvy ·Master verbal and written communication in French, English (and ideally German) · Keen to help colleagues in other functions with activities in areas outside of his/her areas of responsibility as needed to contribute to a collegial and collaborative atmosphere ·?Can do?- attitude
